What is outsourcing?
Outsourcing involves the transfer of management or day to day execution of an entire business function to external service provider. 
                                                    It utilizes experts from outside the entity to perform specific tasks that the entity once performed itself.

Do you require a contract?
Yes, for our protection and yours, we require a contract is signed before we begin any work.  All policies and specific information is
                                                   outlined in our contract. 

Do you require a minimum of hours?
Yes.  The minimum billable project is 1 hour.  After that there are no minimums during the remainder of the month.  Hourly rate is higher on an hour by hour basis and there is a discount for monthly retainers with a 3 month minimum.

Do you offer referral incentives?
Absolutely!  All clients who refer us to their associates will receive a discount on their next month invoice once the referral has paid for a minimum of five (5) hours of service. 

How do you prefer to be contacted?
Whichever method is most convenient for our clients is good for us.  Usually email or text message is the quickest and will most likely be the fastest in response time however we are available by phone during normal business hours Monday thru Friday 9 am to 4 pm.

What is your work style?
We are extremely professional and have high integrity and strong work ethics.  We understand this may be a new process for you but ask for your trust in our skills and efforts.  It is important to communicate clearly your deadlines and give us as much notice on projects and we will make our every effort to meet them. 

What is the ideal client?
All of our clients are ideal but there are some traits that make our working relationship run extra smoothly.  Those are clients who:
  • clearly define their goals along with their time and financial restrictions
  • communicate their expectations and requirements clearly and concisely
  • are available to answer questions in a timely manner
  • plan ahead to help meet deadlines
  • express any concerns or criticism constructively providing feedback.  
  • respects our areas of expertise

What is your policy for training?
We are very well trained in the overall aspects of office procedures and computer applications.  If your company requires us to learn something that the is just specific for your company such as a particular system that only is used by you then you will most likely be charged for training time.  We are excellent and fast learners and are always willing to seek instruction.  However if it is something that we would be able to apply to other companies and industries you will only be charged for a small percentage of the time, if applicable and will be discussed and agreed upon in advance. 

What is your policy on lead time for project completion?
We require at least 7 business days notice for most projects however, the more notice you can give us the better.  We understand that situations arise and will do our best to meet every deadline that is crucial to your business.  If less than 7 business days are given we will work our best to fit you into our schedule and let you know 72 hours in advance if we can keep to your deadline without any added charges.  Rush jobs given with less than 48 hours notice can be done but could incur an extra rush charge of $25 & up that we will let you know of up front.

How do you track your billable time?
We have found that most of our clients prefer to be billed on an project by project basis and as a flat rate.  Our rates our based on a per hour basis that we convert into an estimate for you and let you know what the flat rate will be for each project. 

How do you handle expenses?
Expenses are billed to you the client over and above our normal expenses that we use in our office.  Extra expenses that will be billed to you and reimbursed to us would include postage, copies for mailings, printing expenses, shipping supplies, monthly subscriptions or memberships, any software solely used for your business, etc.  We will inform you of any added expenses needed that are required to complete your projects.  

Do you support Mac users?
Unfortunately not at this time but let us know what your needs are and we may be able to assist you in the near future. 

What time zone are you in?
Pacific time (West Coast)

Do you provide pick up and delivery to local offices?
Yes we provide free pick up and delivery of documents or packages to and from our office within 20 miles of our office.  Pick up and delivery can be arranged at an additional per mile charge over 20 miles, provided we can schedule into our route.

Do you hold any virtual assistant certifications?
No.  We have found that there are so many different certifications that are good ideas in essence but don't really validate all of what we are capable to offer.  Rather than spend valuable time completing those qualifications we would rather let our experience and professionalism show itself through our sample work and be happy to meet with you in person to answer any other questions you may have.
